Job Description

Accounting/Admin Assistant needed for an Insurance Agency located in Santa Monica, CA.  Great opportunity for career growth into accounting or customer service! 

Under the direction of the Finance team, the Administrative Assistant assists with the routine functions of the accounting and operations departments; IT and facilities management.
 
  • HOURS:  Full-Time Hours, Mon-Fri, 8:00AM-5:00PM (can be flexible with earlier or later start and end times)
  • DURATION:  Direct Hire
  • WORKPLACE:  In-office only
  • PAY:  $45,000 - $ 55,000 per year, depending on experience.
  • BENEFITS:  This client offers a full comprehensive benefits package to include medical, dental, life insurance, 401K, PTO.  They pay 80% of health insurance premiums.  Parking at the office is paid 100% by the employer. 

Requirements:
  • Must have a minimum of 1 year of clerical/administrative office experience
  • Must be Technology savvy and proficient in MS Excel.
  • AA or 4-year college degree required or currently working towards a degree.
  • Excellent written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Outstanding interpersonal and team skills.
  • Experience in Bookkeeping would be a plus, but not required.
  • Experience handling certificates of insurance using TrustLayer would be a plus, but not required.

Essential Duties:
SUPPORT:
  • Handle the company’s mail distribution.
  • Handle incoming calls.
  • Scan all company documents.
  • Combine and attach documents to our ERP system.
  • Run MVRs (Motor Vehicle Records),
  • Assist with Excel and Net Rate Comparison sheets.
  • Track certificates of insurance using TrustLayer,
  • Issue certificates of insurance.
ACCOUNTING:  
  • Company bookkeeping. Entering daily receipts, depositing checks in the bank, recording automatic disbursements, retrieve invoices and commission statements Owner’s bookkeeping in QuickBooks,
  • Bank reconciliation on specific accounts,
  • Assist with vendor contracts renewals,
  • Handle licensing in all 50 states and execute compliance requirements under supervision and guidance.
IT & AUTOMATION:  
  • Manage the company’s phone systems (desk phones and cellphones),
  • Assist with IT related tasks under supervision and guidance.
FACILITIES MANAGEMENT:  
  • Order office supplies,
  • Place work orders with the property management company.
