Job Description

Office Manager, with Insurance experience, needed for a Financial Services Firm located in the Mira Mesa / University City area.  You must have life and/or financial services industry experience.  
 
  • HOURS: Full Time; Monday - Friday 8:00 am - 5:00 pm
  • Part Time hours available; Monday – Friday – 10 am – 2 pm
  • DURATION: Direct Hire
  • WORKPLACE: This is an in-office position.
  • PAY: Position can pay $30.00/hr. - $40.00/hr., depending on experience.
  • BENEFITS: This client offers a full comprehensive benefits package to include Medical, Dental, 401k and profit sharing.


Job Duties will include, but are not limited to:
Will oversee the daily workflow of sales operations, support the productivity of Wealth Advisors and Assistants, and ensure a seamless experience for clients and prospects. This client-facing role demands exceptional communication skills, a proactive mindset, and the ability to manage multiple priorities.
Client Management & Sales Support
  • Serve as the primary point of contact for routine client inquiries and manage follow-up actions.
  • Lead the scheduling, preparation, and documentation for client and prospect meetings.
  • Maintain accurate client records within CRM systems (e.g., Salesforce, Redtail, Wealthbox).
  • Coordinate and support the implementation of financial plans, including account opening, transfers, and updates.
  • Assist with investment research, plan preparation, and asset allocation reviews.
  • Deliver exceptional service during client onboarding and portfolio review processes.
Team & Process Management
  • Manage operational workflows to support the advisory team (5 – 7 employees), ensuring timely execution of client service requests.
  • Train and supervise junior team members and coordinate with internal departments to streamline processes.
  • Maintain up-to-date knowledge of industry products and regulatory changes by engaging with fund companies and investment partners.
  • Take initiative in resolving escalated client service issues and ensuring client satisfaction.
  • Provide weekly reports to the Senior Advisor summarizing:
  • New business opportunities and pipeline status
  • Client review progress and follow-ups
  • Asset management insights or updates
  • Internal employee activity tracker and productivity overview

Requirements:
  • Good job stability (meaning 2-3 years working at current and/or past jobs).
  • Must have recent experience, 3 years minimum, within Life and/or Financial services field in sales operations, financial services, or client support role.
  • Engage in professional development with a defined career path toward becoming a fully licensed Financial Advisor (Series 7, 65, Insurance License, CFP).
  • Working knowledge of financial planning, investment strategies, tax considerations, and estate planning principles.
  • Must have intermediate to advanced MS Office skills and CRM systems.
  • Must be detailed, organized and enjoy working in a team environment!
  • This role requires a proactive and detail-oriented individual with strong leadership and communication skills.
  • Proven experience in office management or team leadership roles.
  • Ability to adapt to changing priorities and work effectively under pressure.
